yfy® is a cloud-based platform designed to help organizations manage human resources, payroll, and related compliance processes. Our offerings include the yfy.ai web platform, mobile applications, and our website at https://www.yfy.ai (or the applicable domain).
Users of our services may include organizations that have entered into an agreement with yfy® or its authorized resellers or distributors (“Customers”), as well as individuals who use the services through a Customer, such as employees, contractors, or other authorized users (“End Users”). References to “you” or “users” in this Policy collectively refer to both Customers and End Users, as applicable.

We collect personal data that is provided by employers, authorized administrators, or users, or that is generated through use of the yfy.ai platform. This may include:

- Employment information (employee ID, role, department, joining and exit details)
- Payroll and compensation details (salary, bonuses, statutory payments, tax information)
- Banking details for salary processing

Location Information
yfy® does not independently track location data. Any location-based features in the mobile application, such as attendance tracking, are enabled and controlled solely by the employer.

When using our mobile application, we may collect limited device and usage information to ensure functionality and improve performance. Access to device features such as camera or storage is requested only with your permission and can be withdrawn at any time.
Legal Basis and Purpose of Processing

- Providing payroll and HR services
- Fulfilling employment and contractual obligations
- Complying with statutory and regulatory requirements
Processing is based on consent, contractual necessity, or other grounds permitted under the DPDP Act.
Data Processing Roles
- Employer (Customer): Acts as the Data Fiduciary and determines the purpose and means of processing employee personal data.
- yfy®: Acts as a Data Processor, processing personal data strictly on the employer’s documented instructions and applicable contractual terms.
Data Security and Retention
We implement reasonable technical and organizational safeguards to protect personal data against unauthorized access, misuse, or loss.
Personal data is retained only for as long as necessary to fulfill the stated purposes or to comply with legal and contractual obligations.
Data Principal Rights
Personal data is processed in a manner that enables Data Principals to exercise their rights under the DPDP Act, including the right to:
- Access information about their personal data
- Request correction or erasure
- Withdraw consent, where applicable
- Requests should generally be directed to the employer (Data Fiduciary). Where applicable, yfy® will support the employer in responding to such requests.
